RE: UPDATE- Employee Personal Cell Phone and Email Address
I am following up on our previous email, dated January 26, 2018, regarding changes in PPS employee data fields related to our new legal obligations pursuant to Assembly Bill 119. https://www.hr.ucsb.edu/memos/2018/ab-119-employee-personal-cell-phone-and-email-address
AB 119 requires that public employers provide detailed employee information to the unions, including personal cell phone numbers and personal email addresses for represented employees. Systemwide programming has been completed and you can now enter personal cell phone numbers and personal email addresses in PPS. If the information has already been added in At Your Service by the employee, it will populate PPS as the systems interface with each other. If an employee has opted to not disclose their personal home address and home phone number to the union, then personal email address and personal cell phone number will not be provided.
You must ask employees for their personal cell phone and personal email address information as part of the hiring process. The employee may decide not to disclose the information but you are expressly directed not to influence the employee’s decision. If a newly hired employee requests non-disclosure, you must have a written request from the employee on file (email is fine). If employees have questions about disclosure, please refer them to their union representatives. (For K8 unit employees, the employee must send their written non-disclosure request directly to Teamsters.) As a reminder, there should be no questions regarding disclosure of personal contact information to Employee Organizations (Unions) on your department’s hard copy or electronic versions of employment/personnel data forms for the following bargaining unit employees: CX, DX, EX, HX, PA, RX, SX and TX. Please check your forms to make any adjustments as necessary.
