Frequently Asked Questions

Do I have to fill in all of the fields on the Search page to conduct a search?
No, only the Title Code or Title Name is required. BUT, it’s very important to also select ‘SB – Santa Barbara’ in the Campus field to get the correct staff rates for UCSB. All the other fields can be used to narrow down your search but are not required.

OK, I know I need to select “Santa Barbara” for the Campus field. Do I also need to select a Sub Location?
No, UCSB has no Sub Locations.

I don’t know the Title Code and I’m not sure of the Title Name, and I need one of these to start a search. Does TCS provide any kind of help for this?
Yes. The Title Name field will accept partial names. For example, type in “PROF” and you will get all names that have ‘prof’ in the title name – like Professor, Associate Professor, etc. Then you can choose the appropriate name from the Results list.

What happens if I fill in both the Title Code and the Title Name (and they don’t jive)?
The Title Code will override the Title Name. Make sure the Title Code is the right one!

What do all the different fields on the Search page mean?
Definitions of all fields, terms, acronyms and codes are in the GLOSSARY.

I selected a Title Code on the Search page and when I got to the Staff Results page there were many with the same title code from which to choose! Which one do I select?
This will happen if you don’t select Santa Barbara for Campus on the Staff Search page. The default is “All campuses”, so you will see all the titles in the University system if you don’t change it. But there’s no need to go back to the Search page. Just click on ‘SB’ under ‘Campus’ on the Results page and you will get the UCSB rates for that title.

On the Staff Search page, all of the options under Personnel Program, Pay Representation and Salary Type are already selected. Why?
Having all of the options selected provides the widest search, and is recommended. This is especially desirable when you’re uncertain whether your title is PSS or SMG or MSP (Personnel Program), or whether it’s in a stepped or merit-based (‘open’) range (Salary Type). TCS will provide this information on the Results page when you leave these sections as selected. You can eliminate any of these search options by clicking on the box and removing the check mark.

When I get to the Staff Detail page there are two sets of rates. Which one am I supposed to use?
If you didn’t specify ‘Covered’ or ‘Uncovered’ in ‘Pay Representation’ on the Staff Search page you will get both sets of rates. Refer to the “CBU” (Collective Bargaining Unit) box in the top section of the appointment’s job description (as completed by HR Compensation) if you are unsure which one applies.

The Non-Academic Grade Table has more grades than I thought there were. Individual grades appear to be repeated multiple times within the table, which is pretty confusing! What’s going on here?
Because of this and other peculiarities we highly recommend that you use the GRADE TABLE web page instead! The Grade Table web page has tables which present the grades much more clearly than TCS.

Back to the question regarding the Non-Academic Grade Table in TCS…
The TCS Grade Table is set up in 2 sections—by “Pay Rep” codes Covered (“COV”) and Uncovered (“UNC”). The COV group lists rates that are exactly the same as the UNC group, so you can use either section. Regardless of whether the grade is labeled as “COV” or “UNC”, remember that grades are only used for non-represented titles.

TCS grades are organized on the table in the following way:

Type
Description
Grade Codes
DO  Development Officer 1 through 3
MS Senior Management Group (SMG) 1 - 8
PH Physician 1 - 4
PS Professional & Support Staff (PSS)  1 - 6*
SB  All PSS Grades at UCSB U - Z & 1 - 6
* PS Grades 1 through 6 are exactly the same as SB Grades 1 through 6.

I like to have a printout of all the salary scales—is it possible to get a complete listing of UCSB salary scales through TCS?
No, you may only search for one title at a time on TCS. However, it is possible to get a printout of the UCSB Salary Scales in Excel format. See ALL TITLES (Excel). Warning!! Printouts have a way of becoming obsolete quickly! Your best bet is to always check online for the latest update.

I’m curious about what those codes used for CTO, Occupational Subgroup Category, Linkage and other fields stand for. Where can I find out more?
