To PPS Preparers and Reviewers:
There's a new field in PPS, the "Armed Forces Service Medal Veteran Status Code". Its purpose is to identify UC employed veterans "who, while serving on active duty in the US military, participated in a US military operation for which an Armed Forces Service Medal was awarded." Veterans can check their Certificate of Release or Discharge from Active Duty form to identify whether any of their military operations meet this criterion.
The Entry field for this code is labeled "Serv Medal" on the EPD1 screen. Enter "M" for employees who have identified themselves for this status. The Inquiry screens for this field are IGEN and HPER (History). The field is the last one within the bank of 4 fields next to "Veteran Status"-- from left to right the veteran status fields are Vietnam Era / War-Campaign-Expedition / Disabled / Service Medal. These fields can also be found on the employee personal data page on web-based PPS.
In addition, two of the other veteran fields on EPD1 have recently been changed. The "Special Disabled Veteran" field has been relabeled "Disabled Veteran", and the "Recently Separated Veteran Date" field is now applicable to a veteran hired by the University within three years--rather than one year--from his or her date of discharge.
The recently revised "Demographic Data Transmittal" form (U5605) reflects these changes in veterans' data. The form is located on the UCSB Office of Equal Opportunity website at: http://www.aa.ucsb.edu/index2.html (through the "Affirmative Action Forms" link). Completing this form is voluntary.
IMPORTANT NOTE: Please remember to destroy the Demographic Data Transmittal form after you have entered the data in PPS. The form is used only for data entry purposes.
- DO "Destroy after data entry" (as directed on the bottom left corner of the front page).
- DO NOT "When completed send to Accounting Office" (bottom right corner).
- At UCSB, it's the campus department--not Accounting--that enters PPS data on new employees, so it's the department that destroys the form after data entry.
