Classifying a Vacant Career Position for Recruitment

A department will need a classification review for a vacant position in order to recruit at a different level, or to assure that the current level is still appropriate though only minor changes have been made to the position. The request for review should be started by informally contacting the appropriate analyst in Compensation.  Once you have the go ahead from the comp analyst use the online system OACIS to generate your classification request.  Once the JD is formally approved online, the requistion process can be started by selecting "Create a requisition from a Job Description" on the main page of OACIS.

In order to meet advertising deadlines, JD's submitted to the Compensation Unit for the purpose of recruitment are given first priority by Compensation. Issues that lengthen the review process and potentially delay the requisition process are:

  1. New positions (as distinguished from vacant positions);
  2. Positions with significant changes in job duties or added/deleted supervision;
  3. Positions noted by Compensation as needing additional review to ensure campus equity in the use of classification titles; or
  4. Job Descriptions, which are not clearly written or don't reflect the nature of the work performed.

If there are no changes to a vacant job description, you may go directly to the "Create a requisition from a Job Description" link in OACIS. It is advisable to contact your Compensation analyst prior to completing a requisition that may involve one of the four factors cited above. This step will expedite the process of recruiting for the open position.
